Executive Assistant

LonAdd HR Consultancy Plc (www.lonadd.com) is a Recruitment & Outsourcing Company based in Addis Abeba, Ethiopia, with branch offices in Dukem and Hawassa. 

 We are looking for a competent Executive Assistant for an international FMCG company.

 Job Purpose

A resourceful business support specialist who is agile and able to work seamlessly in a fast-paced environment to deliver excellent business support service.

Responsibilities and Accountabilities

  • Carry out routine business support activities for the MD,
  • Effectively manage the MD’s calendar and prepare correspondence, monitor deadlines and agree on priorities.
  • Manage MD’s annual plans, and travel itineraries and prepare required travel documents including flight /vehicle booking, hotel booking, expense claims and following up to ensure, necessary visas, security clearances and other requirements are obtained for local and international travels.
  • Function as a source of first-level information on departmental matters, as well as customer matters to the MD.
  • Organize the MD’s internal and external activities as well as visitors.
  • Effectively prepare all required documents for the MD’s meetings and local and overseas engagement and follow up on the results/actions
  • Work closely with stakeholders on the successful execution of MD’s official events
  • Manage the logistics for Executive Board and Management Team’s engagements.
  • Plan & organize the clerical activities of the MD’s office and carry out administrative functions as required.
  • Receive and handle visitors, provide appropriate information to enquiries and arranges appointments and meetings or organize workshops as appropriate.
  • Arrange & facilitate venues and logistics required for management meetings, Board meetings, partner meetings and other meetings as required.
  • Handle communications including answering and making calls, type and compose letters, memos, emails, register and distribute incoming /outgoing correspondences, keep complete & update important contacts of customers, partners and stakeholders.
  • Write reports and routine correspondence from dictation or written sources
  • Respond to all incoming calls, email, fax and face to face inquiries appropriately.
  • Draft routine correspondence for approval and signature by the MD.
  • Maintain the Managing director office filing system and all high-level company records confidentially.
  • Manage and follow up the settlement of different bills monthly; and oversee the general cleanliness, maintenance and security of the MD office.
  • Organize purchase of office supplies required for office.

Job Requirements

Key Skills/Experience Required

  • College degree in Business Administration or similar discipline
  • 5 and above years working as an administrative assistant, Office manager or Executive secretary supporting different departments in international companies. Brewery company is an advantage.

Competencies Required

  • Knowledge of computer programs such as Outlook, MS Word, Excel, PowerPoint, etc.
  • Strong organizational, time management and communication skills
  • Strong interpersonal skills
  • Clear and concise communication skills
  • Ability to manage multiple tasks at once for different individuals in the office  
  • Fluency in English (both written and oral), additional languages like French are highly advantageous.
