Purpose of the Position:

The Cashier/Store Keeper, under direction of The Senior Accountant, S/he ensures the day to day office management and cash movement of the organization in relation to cash payments, receipts and maintenance of cash value items.S/he completes delivery by processing and loading orders. Performs a variety of shipping/receiving, stocking activities; stores and distributes supplies and equipment; maintains inventory and stock records; may serve as a lead worker to other classified staff in the area; and perform related work as required.


The Cashier/Store Keeper coordinates office activities cashier assignments for professional or management staff in support of the on-going operations of the office. S/he is also responsible for all warehouse operations activities including shipping and receiving, deliveries, coordinating stock, documenting warehouse transactions, maintaining records, and overseeing storage of surplus inventory and property for the organization.

Key Duties and Responsibilities

Office Support Services:

Main Activities

  • maintain client confidence and protects operations by keeping information confidential;
  • maintain office supplies inventory by checking stock to determine inventory level; anticipating needed supplies; placing and expediting orders for supplies; verifying receipt of supplies;
  • keep equipment operational by following manufacturer instructions and established procedures;
  • secure information by completing database backups;
  • provide historical reference by utilizing filing and retrieval systems;
  • maintain technical knowledge by attending educational workshops;

Cash Management:

Main Activities

  • Effect petty cash payments, issue receipts, code and record properly according to the financial manual;
  • Count petty cash monthly and report timely any overages or shortages;
  • Replenish cash before it reaches its minimum threshold;
  • Keep petty cash in secure safe boxes and keep codes for safe box confidential;
  • Keep and maintain records of cash value items (e.g. fuel coupons, all phone cards…etc)
  • Ensure proper receipts for purchased items and issue cash value items as required;

Store Management Support Services: 

Main Activities

  • Receive and inspect all incoming materials and reconcile with purchase orders; process and distribute documentation with purchase orders; report, document and track damages and discrepancies on orders received;
  • Prepare goods receiving notes, processing requests and supply delivery orders; pulling materials; packing boxes; placing orders in delivery area;
  • Fill supply requisitions; assist staff in ordering adequate supplies and deliver orders;
  • Receives, stores, tags and tracks surplus property; prepares property lists for used items to be sold at auction;
  • Receive and store documents and confidential files; maintain record of approved document and confidential file destruction;
  • Complete deliveries by filling materials issue voucher as per authorized;
  • Maintain stock card by completing stock card maintenance requirements;
  • Maintain inventory controls by collecting stock location orders and printing requests;
  • Maintain quality service by following organization standards;
  • Maintain safe and clean work environment by keeping shelves and workstations neat; maintaining clean delivery supply area;
  • Complying with materials management procedures, rules, and regulations;
  • Completes reports by entering required information;
  • Maintains technical knowledge by attending educational workshops; reviewing publications on materials management;
  • Contributes to team effort by accomplishing related results as needed;
  • Answers questions regarding procedures and resolves discrepancies regarding receipts, deliveries, warranties, repairs and surplus property;
  • Perform other related duties as required

Reports to: Senior Accountant

Based at: Dukem Center-Dukem and Head Office-Addis Ababa

Contract Type: 6 months with possible extension 

Job Requirements


  • Any combination of education and experience that would likely provide the required knowledge and abilities is qualifying. Teamwork, Coordination, Organization, Planning, Time Management, Reporting Skills, Inventory Control, Documentation Skills, Equipment Maintenance, Data Entry Skills, Dependability are essential qualifications of this position.

Education and Experience

  • S/he must have a minimum of BA in Accounting with 0 or Diploma in Accounting with 2 years experience office/store management or cash management or related fields of work with proficiency in computer application software especially in Microsoft office.

Knowledge, Skills and Abilities


The incumbent must have proficient knowledge in the following areas:

  • modern warehouse procedures, including methods of proper and orderly storage and issuance of materials; basic stock inventory procedures; requisitions, purchase orders, invoices, packing slips, bills of lading, freight tags, and the use and meaning of each computerized warehouse record keeping systems;
  • management style that complements Agar Ethiopia’s long standing culture of high integrity throughout all areas of internal and external program/project activities;
